This document describes how GearChirp actually works today, but it has not yet been reviewed by counsel and is not a final agreement.
Who may open an account
Accounts are for adults aged 18 or older who are authorized by a school or club program to manage its equipment records. By creating an account you confirm you meet both conditions. Athletes and parents are not account holders and are not asked to use the service.
What the service does
GearChirp records which equipment a program owns and which athlete currently holds each item, including condition on issue and return, and reports on overdue, damaged, and missing gear.
Your responsibilities
You are responsible for the accuracy of what you enter, for keeping your login credentials secure, and for entering only the information needed to manage equipment. Do not enter student health information, disciplinary records, grades, or contact details — the service is not designed to hold them.
You are responsible for following your school or district's own policies about student information, including any approval required before adopting a new tool.
Ownership of records
Records entered by a program belong to that program and its school or district. We claim no ownership of them and process them only to provide the service. You may export them as CSV at any time, and delete them at any time, from Settings.
Plans and payment
The free plan supports up to 50 athletes and 200 equipment units. The Pro plan is $249 per year for unlimited athletes and inventory. Paid billing is not yet enabled; until it is, all accounts operate under the free plan and no payment is collected.
Availability
We aim to keep the service running and backed up, but it is provided as is, without a guaranteed uptime commitment. Keep independent records of anything you cannot afford to lose, and use the CSV export for that purpose.
Ending the agreement
You may stop using the service and delete your program at any time. On termination, we delete the program's records within 60 days, including from routine backups on their normal rotation. Export anything you want to keep first.
Privacy
Our handling of program and student information is described in the Privacy Policy, which forms part of these terms.
Changes
If we materially change these terms we will update the version stamped at the top of this page and record the version each account accepted.
